How to create a new user in practice protect and office365 [sop - onboarding]

Practice Protect and Office365 Users are linked together through Practice Protect Federation. When a new User Account is created in Practice Protect, this is also synced in Office365. However, Office365 Licenses must still be purchased through the Microsoft 365 website.

Practice Protect & Office365 Licenses

To create a new user you must have both Practice Protect and Office365 available licenses. If you have run out of available licenses, you will need to purchase them.

When you create a new User in Practice Protect, this will either immediately take a vacant seat (license) or it will trigger a Support Ticket to Practice Protect to purchase a new license. 

With Office365 you should first check if you already have an available license prior to creating a new user.

  1. Log into Microsoft 365 and click on the Admin icon  from the Sidebar Menu

  2. Select [Billing] > [Your Products]

  3. Check if you have any Microsoft 365 Business Standard licenses
  4. If you have available licenses, you can create a new User account in Practice Protect, if not you will first need to purchase a license

Purchase a Microsoft 365 License

  1. Click on Microsoft 365 Business Standard

  2. Click on [Buy licenses]

    è  The Buy licenses pane is displayed on the screen



  3. Increase the number of licenses and then click on [Save]

    è  Microsoft will confirm the change to your licenses by sending you an email

Add a new User Account in Practice Protect

  1. From the Practice Protect Admin Portal select the [Users] tab from the sidebar

  2. Click on [Add User]

    è  The Create CyberArk Directory User screen opens



  3. Type the User name and email address, then select the following settings:
    • Password Type > Select: Manual
    • Password and Confirm Password > Type: Evolution2016!
    • Password never expires > Leave Blank 
    • Require password change next login > Select this option
    • Is Service User > Leave Blank 
    • Is Oauth confidential client > Leave Blank
    • Send email invite for user portal setup > Select this option
    • Send SMS invite for device enrollment > Leave Blank
  4. Click on [Create User]

    è  The New User is created and an invite is sent to their email address



  5. Select the [Roles] tab from the sidebar

  6. Click on the Role: Office 365 Email Protection

    è  The Role screen opens



  7. Select the [Members] Tab
  8. Click on [Add]

    è  The Add Members screen opens



  9. Search for the new User and then select them from the list
  10. Click on [Add] > [Save]
  11. Select the [Settings] > [Users] tab from the sidebar

    è  The Users Directory Services screen opens



  12. Select the [Outbound Provisioning] tab
  13. From Provisioning Enabled Applications select Office 365 and click on [Start Sync]

    è  The New User Account is synchronized to Office 365

  14. Once the synchronisation is complete go to the Microsoft 365 Admin Portal
  15. Select the [Users] tab and make sure the user account has been created successfully and that a Microsoft 365 Standard Business license has been assigned to them
