How to manage security and audit functions [xero]

Xero offers a range of Security Options to help you monitor the privacy and integrity of your Xero Organisation. Security Options include:

  • Track recent login history
  • Audit user transactions
  • Audit Bank Feeds' Transactions that have been manually deleted
  • Audit Contacts with the same Bank Account details
  • Backdated Customers and Supplier Invoices
  • Automatic Notifications when Supplier Contacts or Employees' Bank Account are updated

Track Recent Login History

  1. From the Organisation Menu go to Settings > Users

    è  The Users screen



  2. Click on [Login History]

    è  The Users Login History screen



  3. From this screen you can check the recent User Login History

Audit User Transactions

Every time a User adds a note, creates, edits or makes any changes to a transaction or a payment an entry is logged into that Transaction's History. The Audit Log includes the name of the user who performed that action, the time and date it recorded. This function allows you can keep track of any changes made across your Xero Organisation. You can find a list of all User Notes' Types on Xero Central.

  1. Go to Accounting > Advanced
  2. Click on History and notes

  3. You can use the following search filters to narrow down your audit search:
    • Period
    • Items
    • User
  4. Once you have set the search filters click on [Update]
  5. You can click on the transaction Item link to access the individual transaction

Use the Assurance Dashboard

  1. Go to Accounting > Advanced
  2. Click on Assurance Dashboard

    è  The Assurance Dashboard opens



  3. The Assurance Dashboard includes three Tabs:
    • Bank Accounts > Provides a list of all Bank Feeds Transactions that have been manually deleted
    • Contacts > Provides a list of all Contacts with duplicate Bank Accounts and Contacts whose Bank Account details have been updated
    • Invoices and Bills > Provides a list of all Customer and Supplier Invoices whose dates have been manually backdated

Xero Automatic Notifications

Xero sends an automatic email notification to any Users set up as Advisers when:

  • An existing Supplier Contact's Bank Account is changed
  • An existing Employee Bank Account is changed or a second Bank Account is added
