How to process jury duty leave and deduct the court allowance [xero]

When an Employee is serving Jury Duty, an Employer may be required to pay a make-up payment between the daily allowance paid by the court and the Employee's regular daily pay rate.

For example, if a Full-Time Employee is normally paid $30 per hour and the court reimburses $100 for the day. The makeup pay should be calculated at: 7.6 * 30 = $228 - $100 Court Attendance Fees = $128 makeup pay.

Process the Jury Duty Leave and deduct the court daily allowance

Apply for the Jury Duty Leave

  1. Go to Payroll > Employees
  2. Open the Employee details and click on the [Leave] Tab

    è  The Employee's Leave Tab



  3. Click on [Assign Leave Type]

  4. Select/Enter the following details:
    • Leave > Select: Jury Duty (paid)
    • Leave Calculation Method > Select: Manually Recorded Rate
    • Hours > Leave Blank
    • Opening Balances > Leave Blank
    • On termination unused balance is > Select: Not Paid Out
  5. Click on [Save]
  6. Click on [New Leave Request]

  7. Select/Enter the following details:
    • Type of request > Select: Jury Duty (Paid)
    • Description > Type: Jury Duty
    • Start and End Date > Type the start date of the summon and either the date of the return or the payroll end date
    • Hours > Make sure the total hours of leave calculated by Xero are correct
  8. Click on [Approve]

Note: your Employee could also process the Leave Application through My Payroll and submit it to you for approval.

Process the Pay Run and deduct the Jury Duty Allowance

  1. Go to Payroll > Pay Runs
  2. Click on [+Add Pay Run]

    è  The Add Pay Run pop up screen opens

  3. Select the correct pay period and click on [Next]
  4. Open the employee’s pay

    è  The Jury Duty Leave should appear on the Employee's pay



  5. Click on [+ Add Earnings Line]

    è  The Add an Earnings Line pop up screen opens



  6. Select the Pay Item: Jury Duty Court Daily Allowance and click on [OK]

    è  The Jury Duty Makeup Pay Earning Line pop is added to the Employee's pay



  7. Type the number of days the Employee has received the daily allowance in the pay period and type the Jury Duty daily allowance with a negative value
  8. Click on [Save]
  9. Finalise the Pay Run as per normal
