How to set up two-factor authentication with an authenticator app [Hubdoc]

Two Factor Authentication, also known as 2FA is an extra layer of security that is known as "multi-factor authentication" which requires on top of a username and a password another security option accessible exclusively by the user, such as a physical token or a code provided by an app on their smartphone.

Security Enhancement

Using a username and password together with a piece of information that only the user knows makes it harder for potential intruders to gain access and steal that person's personal data or identity. Using Two Factor Authentication can help lower the risk of identity theft or access to software information.

Set Up Two Factor Authentication in Hubdoc

To set up Two Factor Authentication the User needs to install an authenticator app on their phone and then link it with their Hubdoc account. Each user in the Hubdoc organisation needs to set up Two Factor authentication individually. When a user sets up Two Factor authentication, it applies to that user's login only, and on any device, the user logs into Hubdoc. 

It is important that the set up of both a new User account and Two-Factor Authentification are completed using the Hubdoc 'Desktop application' before they download and set up the Hubdoc phone app.

Change a Smart Device

If a user has changed their smart device, they should first disable Two-Factor Authentication from the old device and then re-enable it on the new device. 

Login To Hubdoc using 2FA

When a user logs in to Hubdoc, an authentication code must be entered from the authenticator app. Authentication codes may be entered either each time a user signs in, or every 30 days. If the user can't access their smart device, they can still log in using the Recovery Key which is provided by Hubdoc when Two-Factor Authentication is first set up. Hubdoc users should save their Recovery Key in a safe place to ensure they can use it in the instance their smart device is being replaced, lost or broken.

  1. Log in to Hubdoc with your Username and Password

  2. Click on the Profile icon  from the top right-hand side of the screen and click on Profile

  3. Select the [Profile & Security] Tab
  4. Click on [Set Up Two-Factor Authentication]

  5. Click on [Set Up Two-Factor Authentication]

  6. Select the option I have recorded my recovery key in a safe place and click on [Set Up Two-Factor Authentication]
    Note: make sure you do save the Hubdoc Recovery Key in a safe place

  7. Open the Authenticator app installed on your phone and scan the QR code, then enter the 6 digit security code in the Authentication code field, then click on [Verify Code]

    è  Two-factor authentication is now set up in Hubdoc and a confirmation email is sent to the user



  8. If this is the first time you set up Hubdoc, you can now download the Hubdoc Phone App and sign in using your login details and 2FA code.
