How to review your time entries and submit your weekly timesheets [Karbon]

All Team Members at Evolution Cloud Accounting are required to keep track of their time for both billable and non-billable activities. At the end of the week, these Time Entries will form your Timesheet which must be submitted to Management for approval. To ensure important billable hours are not missed, we recommend reviewing all saved and potentially missed Time Entries at the end of each day and then making a final review at the end of the week prior to submitting the Timesheets to Management.

Once you submit your Timesheet Management will receive a notification to review and approve your Timesheet. Management will then determine whether to approve or decline the Timesheet. When this happens you will receive a notification in Triage.

All declined Timesheets will include comments from Management to review any Time Entries that may be missed or incorrect. Once declined, you can edit or add Time Entries and re-submit the Timesheet for approval.

When a Timesheet is approved, the Time Entries included in the Timesheet will be permanently locked for editing. A lock icon will be displayed next to the approved Time Entries.

Reviewing Daily Time Entries

  1. Click on Time from the Side Bar

    è  The Timesheets will be displayed

  2. Select the current period

    è  The Weekly Timesheet screen opens



  3. Review your saved Time Entries and make sure:
    • The Correct Job Role and Task Type have been assigned based on the relevant Work Item
    • All save Time Entries have notes against it
    • Check the allocated times and make sure that none of them seems incorrect
  4. Review your Suggested Time Entries
    Note: these are any activities you have worked during the day, where Time Entries have not been recorded
  5. Confirm a Time Entry from a Suggested Entry or click on the Cross icon to remove the Suggested Entry

Submit your Weekly Timesheets

  1. At the end of the working week, return to the Time screen and do a final check of your all weekly Time Entries. Make sure you review both saved and suggested Time Entries for each day of the week and
    • Add any missed Time Entry;
    • Edit any saved Time Entry;
    • Review and Edit any Suggested Entry
  2. Once you have reviewed all Time Entries for the week, you are ready to submit your weekly Timesheet

  3. Click on [Submit]

  4. Select your Manager from the list and click on [Submit]

    è  The Timesheet is submitted and a notification is sent to your Manager's Triage
