How to start the onboarding process for a new employee [employment hero]

When a new staff member joins the organisation Employment Hero takes care of all the onboarding and key payroll forms to correctly onboard a new Employee. All the forms are electronically sent to the new Employee and can be lodged directly to the ATO.

Set up the new Employee

  1. Log into Employment Hero and go to Personnel > Employees

  2. Click on [Add employee] > Onboard

    è  The Employee Onboarding - Basic Information screen opens



  3. Enter the Employee's personal email address, first and last name and click on [Continue]

  4. Select/Enter the following details:
    • Employing Entity > Select the relevant entity (if you have more than one)
    • Location > Select the Business location
    • Employee Code > if you use Employee IDs or codes you can enter the Employee's code in this field
    • Employment Type > Select between Full-Time, Part-Time or Casual
    • Start Date > Enter the Employee's Start Date
    • Probation Length > Enter the number of probation months
    • Primary and Secondary Managers > Select the Employee Primary and secondary Managers from the list
    • Teams > Select one or more teams the Employee will be part of
  5. Click on [Continue]

  6. Select/Enter the following details:
    • Pay Rate > Type the Pay Rate (per Hour, Day, Year, Month)
    • Work Hours > Type the Weekly work hours
    • Ordinary work day > Confirm or change the default 7.6
    • Pay Category > Select the main Pay Item from the list
    • Pay Schedule > Select the Employee's default pay schedule
      Note: the lists of Pay Items and Schedules come from Xero or KeyPay
  7. Select Syncronise with Payroll
  8. If you are using Employment Hero to issue your Employment Contracts click on [Issue Contract]. If not, click on [Finish]

    è  A confirmation email is sent to your email address and an onboarding form is sent to the new Employee
