How to use the zoom phone app [zoom]

The Zoom App can be installed directly on your Desktop computer, Smartphone and Tablet. Zoom also has a Microsoft Teams app, however, the app features are still limited. 

Once you have installed the application on the required device you can then enable it to:

  • Create video meetings
  • Sharing your screen
  • Use Zoom Phones

Zoom Phone App - Overview

If you use the Zoom Desktop app you will need to connect both a headset and a microphone to your computer. The Zoom app installed on your smartphone uses your standard phone speaker and microphone.

  1. Log into the Zoom Phone app
  2. Click/tap on the phone icon

  3. The left pane displays 3 Tabs:
    • History > Displays your phone call history in chronological order
    • Voicemail > Displays the list of recorded messages and transcripts
    • Lines > Displays your phone line (and any other lines or call queue shared with your account)
  4. The right pane displays the dial pad
  5. Click on the Contacts icon

  6. The left pane displays the list of Contacts by type, including:
    • Starred > These are your favourite Contacts
    • Phone Contacts (only available on the Smartphone app) > These are the contacts saved on your phone
    • Imported Contacts > these are our Clients / Partners Contacts imported from Karbon
  7. The right pane displays the selected Contact's details (name and phone number)

Making Phone Calls

The Zoom Phone app works similarly to a standard smartphone. You can make phone calls by either dialling a phone number on the app dial pad or by typing the name of the person you wish to call (providing that Contact name is saved in any of the Contact type lists). Finally, you can also make a call from the Contact screen, Call History and Voicemail.

If you wish to call another team member, you can simply dial their extension.

Outbound Caller ID

The outbound caller ID defaults to our main landline number (02 7252 2066) although the app allows you to change it to your direct line, never change the caller ID to your Direct line.

The receiver will see on their phone screen both our main landline number and the name 'Evolutionclouds'

Receiving Phone Calls

You can receive phone calls using the zoom app like any other phone calls you receive on your smartphone. 

Managing Phone Calls

Once you are on a phone call, you have a number of options available to manage the call:

  •  Mute Phone call
  •  Add and Merge multiple Calls
  •  Place the call on hold
  •  Transfer the call (Warm and Cold) > Only use Warm Call Transfers
  •  Record the call > Always notify the Client if you plan to record calls
  •  Escalate the call to a Zoom Meeting

Managing Call History and Voicemail

Call History

From your Call History you can:

  • Filter the call history by All Calls, Missed Calls and Recorded Calls
  • Call the number directly, block the number or Delete the Call log

Voicemail

From your Voicemail, you can:

  • Listen to your recorded messages or read the transcript of the recording
  • Shared the recorded message or the transcript with other Team Members
  • Call the number directly or delete the voicemail
